What is Zapier and what is it used for?

Zapier allows you to connect multiple systems together. This can be used for automating workflows.

What are the benefits?

  • You can easily automate workflows without needing much technical expertise. No programming is required.
  • Flexibility: you can set up workflows that will be used permanently, or just for temporary use.
  • Automating workflows saves you time versus manually carrying out the same actions repeatedly.
  • Zapier has a library of over 2000 systems that can be linked together. You decide which systems you want to link up and which systems are relevant for you.
  • Bidirectional traffic: when an action is executed in system A, this can automatically trigger an action in system B, or vice versa.

Definitions of the key terms:

  • Zap: A Zap is a template that is always executed automatically. You configure it once. You can also think of a Zap as a workflow. You can set up lots of Zaps/workflows in Zapier.
  • Trigger: A trigger is a specific event that you want to cause a Zap/workflow to be executed. In other words, the trigger is the first step, a particular action that you expect to occur in the linked system. For example: when a candidate books an interview in Calendly.
  • Actions: An action is what you want to happen in response to a particular trigger. The idea is that something happens in the linked app, and you want this to trigger an automatic action in Jobtoolz. You can set up multiple actions. For example: finding the candidate in Jobtoolz, followed by scheduling an interview. You can also set up filters for an action, where appropriate.

  • Trigger= Invitee created in Calendly
  • Action= Only continue if… (filter for exact event: if you use Calendly for things other than job interviews, you can set up a filter here. If you don't set up a filter, the Zap/workflow will detect all the events in Calendly)
  • Action = Create interview in Jobtoolz
